This Account Policy outlines the rules, guidelines, and best practices for creating, managing, and using your SchoolUnique account. By creating an account with us, you agree to comply with this policy along with our Terms and Conditions and Privacy Policy.
1. Account Creation
1.1 Parent Account Creation
Important: Parents cannot self-register directly for SchoolUnique. Your parent account is completely managed by your registered school.
- The enrolled school creates parent accounts during student registration
- Schools provide login credentials to parents via email or in person
- Account information is requested by and managed by the school
- Parents receive access credentials after the school sets up their account
1.2 Account Information
When the school creates an account, they may provide information including:
- Full legal name
- Valid email address
- Phone number (mobile)
- Address
- Student relationship (parent/guardian)
- Linked student accounts
1.3 School Administrator Accounts
- School administrators have full control over all parent and student accounts
- Schools are authorized representatives of their educational institution
- Additional verification may be required for institutional accounts
- School accounts have access to manage all users within their institution
2. Account Types and Roles
2.1 School Administrator Account
- Primary account for managing the entire school instance
- Full access to all features and settings
- Ability to create and manage other user accounts
- Responsible for subscription billing and payments
- Access to analytics and reporting tools
2.2 Teacher/Staff Account
- Created and managed by school administrators
- Access to assigned classes, students, and subjects
- Ability to manage grades, attendance, and assignments
- Limited access to school-wide settings
2.3 Parent Account
- Linked to one or more student accounts
- View student progress, attendance, and grades
- Receive notifications and communicate with teachers
- Access to fee payment and billing information
2.4 Student Account
- Created by school administrators or linked to parent accounts
- Access to assignments, grades, and timetables
- Limited permissions based on age and school policy
- Monitored access for safety and security
3. Account Security
3.1 Password Requirements
All accounts must use passwords that meet the following criteria:
- Minimum 8 characters in length
- At least one uppercase letter
- At least one lowercase letter
- At least one number
- At least one special character (!@#$%^&*)
- Cannot be a commonly used or compromised password
3.2 Password Security Best Practices
- Never share your password with anyone
- Use a unique password not used for other accounts
- Change your password regularly (recommended every 90 days)
- Do not write down passwords in unsecured locations
- Use a password manager for secure storage
3.3 Two-Factor Authentication (2FA)
- 2FA is available for all account types
- Highly recommended for administrator accounts
- Can be enabled via SMS, email, or authenticator app
- May be required for accounts with administrative privileges
3.4 Account Access and Login
- You are responsible for all activities under your account
- Do not share login credentials with others
- Log out from shared or public devices after use
- Report any suspicious activity or unauthorized access immediately
4. Account Responsibilities
4.1 Information Accuracy
You are responsible for:
- Providing accurate and truthful information during registration
- Keeping your account information up to date
- Updating contact details when they change
- Notifying us of any errors in your account information
4.2 Appropriate Use
- Use the platform only for legitimate educational purposes
- Comply with all applicable laws and regulations
- Respect the rights and privacy of other users
- Do not upload inappropriate, offensive, or illegal content
- Do not attempt to access areas or data you are not authorized to view
4.3 Prohibited Activities
The following activities are strictly prohibited:
- Creating fake or fraudulent accounts
- Impersonating another person or organization
- Sharing account credentials with unauthorized users
- Attempting to hack, breach, or compromise system security
- Using automated bots or scripts to access the platform
- Uploading viruses, malware, or malicious code
- Scraping or harvesting data without permission
- Engaging in harassment, bullying, or abusive behavior
- Using the platform for commercial purposes without authorization
5. Account Management
5.1 Profile Updates
- You can update your profile information at any time through account settings
- Profile photo uploads must be appropriate and comply with community standards
- Changes to critical information (email, phone) may require re-verification
5.2 Password Changes and Recovery
- Change your password through Settings > Security > Change Password
- If you forget your password, use the "Forgot Password" feature on the login page
- Password reset links are valid for 24 hours
- Contact support if you cannot access your account
5.3 Account Linking
- Parent accounts can be linked to multiple student accounts
- Student accounts can be linked to multiple parent/guardian accounts
- Linking requires verification by the school administrator
- You can request unlinking by contacting support
6. Data Privacy and Access
6.1 Your Data Rights
You have the right to:
- Access your personal data stored in SchoolUnique
- Request correction of inaccurate information
- Download your data in a portable format
- Request deletion of your account and associated data (subject to legal requirements)
- Opt-out of non-essential communications
6.2 Data Retention
- Active account data is retained as long as your account is active
- After account deletion, data is retained for 30 days for recovery purposes
- Academic records may be retained longer as required by educational regulations
- Backup copies may exist for up to 90 days
7. Account Deletion
7.1 How to Delete Your Account
Important: Your parent account is completely managed by your registered school. To delete your account, you must contact your school.
Account deletion can be requested by:
- Contacting your school via email
- Meeting with school administrators in person
- Following your school's account deletion procedures
7.2 Identity Verification
Schools may require identity verification before processing account deletion requests to ensure security and prevent unauthorized deletions.
7.3 Data Deletion Process
Once your school initiates account deletion:
- We cease using your personal data immediately
- All personal data is completely deleted from active systems
- Data is removed from our databases and cannot be recovered
- Associated data will be permanently removed from our systems
7.4 Irreversible Deletion
Important: Once your account is deleted, all associated data will be permanently removed from our systems. This action is irreversible, and data recovery post-deletion is not possible.
7.5 Backup and Archive Copies
- Backup and archive copies may persist temporarily after deletion
- These copies are securely stored and inaccessible
- Backup data is deleted through our normal backup rotation procedures
- We retain data only as long as necessary per our Privacy Policy or legal requirements
7.6 Confirmation
Schools will confirm account deletion via the email address associated with the account. You will receive notification once the deletion process is complete.
7.7 Suspension by School or SchoolUnique
Accounts may be temporarily suspended if:
- The school requests suspension
- We detect suspicious or unusual activity
- There are violations of our Terms of Service
- We need to investigate a security incident
- We receive a valid legal or regulatory request
8. Inactive Accounts
8.1 Inactivity Policy
- Accounts with no login activity for 12 consecutive months are considered inactive
- We will send email notifications at 9, 10, and 11 months of inactivity
- Inactive free trial accounts may be deleted after 6 months
- Paid subscription accounts remain active as long as payments are current
8.2 Reactivation
- Inactive accounts can be reactivated by logging in
- You may need to verify your identity for security purposes
- Deleted accounts cannot be reactivated; you must create a new account
9. Account Transfer and Migration
9.1 Transferring Ownership
- School administrator accounts can be transferred to another authorized person
- Transfer requires verification from both parties
- Contact support to initiate an account transfer
- Student and parent accounts are not transferable
9.2 School Migration
- Student accounts can be migrated when changing schools
- Requires approval from both the old and new school administrators
- Historical academic data may or may not transfer based on school policies
10. Multiple Accounts
- Users may have different account types (e.g., parent and teacher) if applicable
- Creating duplicate accounts of the same type is prohibited
- Creating fake accounts to circumvent restrictions is prohibited
- We may merge or delete duplicate accounts without notice
11. Communication Preferences
11.1 Types of Communications
SchoolUnique may send you:
- Essential Communications: Service updates, security alerts, billing notices (cannot opt-out)
- Transactional Messages: Attendance alerts, grade updates, assignment notifications
- Marketing Communications: New features, tips, newsletters (can opt-out)
11.2 Managing Preferences
- Adjust notification settings in Settings > Notifications
- Opt-out of marketing emails via unsubscribe links
- Cannot opt-out of critical service and security notifications

13. Compliance and Legal
13.1 Age Restrictions
- Students under 13 must have parental consent
- Parents must approve student account creation and monitor usage
- We comply with COPPA (Children's Online Privacy Protection Act)
13.2 Educational Records
- We comply with FERPA (Family Educational Rights and Privacy Act)
- Academic records are protected and shared only with authorized parties
- Parents have the right to access their child's educational records
14. Changes to Account Policy
We reserve the right to modify this Account Policy at any time. We will communicate changes appropriately and notify you of significant updates via:
- Email notification to your registered address
- In-app notification upon login
- Notice on our website
Continued use of your account after changes indicates acceptance of the updated policy.
